What is an API integration, in plain terms?
It is a connection that lets two software systems exchange information automatically. When an online order appears in your accounting system without anyone typing it in, that is an API integration doing the work. The API itself is the defined way one system offers its data to another.
Can you integrate with a system we already have?
Usually, and the first question is whether it offers an API at all. Most modern accounting, ERP and CRM products do. Older or locally installed systems sometimes do not, in which case the options are a database-level integration or a scheduled file exchange — both workable, both worth knowing about before the project is quoted rather than after.
What happens if one system is down?
That is designed before anything is built, because it is where integrations do real damage. Failed transfers are retried, anything that cannot be delivered is recorded rather than dropped, and someone is alerted. How long does an integration take?
A single well-documented integration is often a matter of days to a couple of weeks. Will it keep working when the other system updates?
